When refrigeration starts behaving differently, clear information helps the service team decide what to investigate. You do not need to diagnose the fault yourself. A short description of the equipment and what changed is a useful starting point.
Identify the equipment
Share the site address, where the equipment is located and what it is used for. A photo of the equipment and its accessible nameplate can help identify the model. Include the ADN Asset ID if one is assigned. If you do not have an Asset ID, describe the unit and its location; you can still request service.
Describe what you noticed
Explain when the issue started, whether it is constant or intermittent, and any display message or unusual sound. Note visible icing, water around the unit or a door that is not closing normally. If temperature readings are available, tell the team where and when they were taken.
Let the service team know about recent changes, such as a delivery, equipment relocation, power interruption or other work in the area. Do not repeatedly reset controls or change settings to make the symptoms disappear.
Prepare the site
- Identify the person who can provide access and answer operating questions.
- Explain access restrictions, parking, delivery schedules and busy service periods.
- Keep normal access routes clear where it is safe to do so.
- Have previous service notes available if the issue has occurred before.
Protect your operation
Follow your business’s food-safety procedures for any affected product. A refrigeration visit assesses equipment; decisions about product suitability remain with the responsible operator under the applicable food-safety requirements.
Leave electrical panels, guards and refrigerant work to qualified personnel. You can help most by providing accurate observations and safe access.
