About This Policy
This policy covers the ADN Refrigeration website and the information provided through its enquiries, customer account application and employee access features. ADN is based in British Columbia. BC’s Personal Information Protection Act (PIPA) generally governs our private-sector personal information practices; the federal Personal Information Protection and Electronic Documents Act (PIPEDA) may apply to certain activities, including relevant cross-border commercial information flows.
Business contact information may be treated differently under privacy law. We nevertheless handle website enquiries carefully and use them for the purposes described here.
Information We Use
- Enquiries: your name, company, email, telephone, enquiry type, site location and message. Service and maintenance enquiries can also include optional ADN Asset IDs and equipment locations.
- Account applications: company and address details, billing contact information, requested account information, purchase-order requirements and notes. Optional fields are identified.
- Employee access: account identifiers, authentication information and permissions needed to provide authorized access. Hosting systems may record access and security events.
- Technical records: hosting systems may record IP addresses, request times, requested pages, browser information and error or security events to operate and protect the website.
Provide only information relevant to your request. Do not include passwords, card numbers, CVVs or unrelated personal information in a message or Asset ID field. If you provide another person’s contact details, make sure you are authorized to do so.
Why We Use It & Where Enquiries Go
We use enquiry details to respond, identify the affected equipment, discuss the requested work and coordinate next steps. Service and maintenance assessment enquiries go to our Service team. Installation, equipment and upgrade enquiries go to our Sales team. General enquiries go to our Sales team.
On an enabled site, the enquiry form sends these details to the appropriate ADN mailbox. It does not create a public post or a customer login. Correspondence may then become part of the business record for your request. Account information, when the application is enabled, will be used for account assessment, billing setup and administration. Employee information supports authentication, access control and administration of the employee area.
Your Choices & Communications
When you voluntarily submit an enquiry, we use its contents to deal with that request. Consent is sought where required; some uses or disclosures are permitted or required by law. You can ask about our practices or withdraw consent, subject to legal restrictions. We will explain any effect on the requested service.
A service request or maintenance assessment does not subscribe you to promotional email. Any future promotional email program must provide appropriate consent choices, sender identification and an unsubscribe method under Canada’s anti-spam rules. Operational replies concerning your own enquiry or account are handled separately from marketing subscriptions.
Secure Card Information
Secure card entry is currently unavailable. No card details or account applications are submitted from the preview.
When configured and tested, Bambora / Shift4 hosted fields will send card details directly to the processor to create a secure payment profile. ADN’s application record will hold the processor reference rather than the full card number or CVV. Card data must not be entered into ordinary website fields, email or messages. The applicable processor notice and specific card authorization will be provided with the enabled application. Creating a profile does not itself approve an account or authorize unspecified charges.
Spam Protection
Cloudflare Turnstile is installed for spam protection and is awaiting secure configuration on preview. When configured, it checks browser and interaction signals to help distinguish legitimate requests from automated traffic. Cloudflare receives technical data needed for this check, including network and browser information. The website receives a short-lived verification token; enquiry message contents are not sent to Cloudflare by ADN’s verification request.
This security check is separate from optional analytics and advertising. See Cloudflare’s Privacy Policy. If verification does not work, call 604-945-0788. The preview still sends no enquiries or account applications.
Service Providers & Processing Locations
Website hosting, email delivery, security and account services can involve providers processing information for ADN. The website is hosted through GoDaddy. The planned card integration uses Bambora / Shift4, once enabled. Providers receive the information needed for the relevant function, subject to applicable arrangements and law.
Information may be processed or stored outside British Columbia or Canada, including in the United States, depending on the provider. Foreign courts and authorities may lawfully access information under that jurisdiction’s rules. Contact us for questions about providers or international processing. ADN remains responsible for personal information under its control and must use appropriate safeguards for service-provider handling.
Information may also be disclosed where legally required or permitted, for example to respond to lawful process or protect against fraud. Website enquiries are not used to sell personal information.
Safeguards & Retention
The website uses HTTPS, restricted administrative access and permission checks for employee documents. Employee files are delivered through authorized access rather than public media-library links. These measures reduce risk; no internet system can promise absolute security.
Records are retained for their business purpose and applicable legal obligations, then securely deleted or de-identified when no longer required. Information used for a decision directly affecting an individual must be kept for at least one year where PIPA requires it. Retention of business emails, account records and hosting logs depends on the relevant record type and obligations. Requests concerning retention can be directed to the privacy contact below.
Access, Corrections & Concerns
You may request access to your personal information or correction of an error. Contact us in writing with enough detail to locate the record. We may verify identity or authority before disclosure and will respond within the applicable statutory time limits. Legal exceptions may limit access; where permitted, we will explain a refusal and available review options.
Send privacy questions or complaints to the contact below so ADN can investigate and respond. You may also contact the Office of the Information and Privacy Commissioner for British Columbia, or the Office of the Privacy Commissioner of Canada where federal law applies.
